Reports to: Human Resources Generalist

The Human Resources Assistant is responsible for providing administrative support to the Human Resources Department.  Working as a part of the Guthrie’s Human Resources team, the Human Resources Assistant will have the opportunity to assist with multiple different areas of the Human Resources function, including talent acquisition, onboarding, volunteer programming, HRIS administration, and more.  This position is part-time, temporary, non-exempt (hourly) and will range between 20 – 30 hours a week until the estimated end date of December 2018.  Compensation for this position ranges from $15.00 - $17.00 per hour depending on qualifications.

Job Highlights

  • Provide administrative support to the Human Resources department
  • Assist with administration of the Volunteer Program
  • Maintain the volunteer database and online scheduling software (Tessitura)
  • Provide support to volunteer supervisors regarding position creation, CRM support, and performance concerns
  • Respond to requests for volunteer needs
  • Assist with recruiting and onboarding for employment and volunteer opportunities
  • Post all open positions online as well as community contacts
  • Coordinate phone and in-person interviews with candidates
  • Create and maintain candidate correspondence
  • Assist with the annual performance review process
  • Assist with the HRIS system (UltiPro) and data entry
  • Maintain the employee filing system, including digital uploads and maintenance
  • Assist with Benefits, Wellness and Safety Administration
  • Process first reports of injury and provide information to provider and employees in a timely manner
  • Other duties as assigned


  • One year of experience in Human Resources
  • Ability to work quickly, efficiently, and take initiative on projects
  • Ability to work independently and as part of a team
  • Ability to be proactive in order to anticipate and solve problems
  • Ability to exercise good judgment and to maintain confidentiality
  • Ability to adapt to change and be flexible
  • Skill in Microsoft Outlook, including Word, Excel, and Power Point
  • Skill in using Tessitura preferred
  • Skill in using UltiPro preferred
  • Skill in writing, proof-reading and editing to send out error-free communication
  • Skill in time management and planning to handle the multiple demands
  • Skill in attending to details
  • Strong commitment to equity, diversity and inclusion
  • Experience, ability and commitment to working with diverse groups in terms of gender expression, race, sexual orientation, religion, ability, age, class and immigrant status
  • Ability to work evenings and weekends as needed
